How Simpliphi Technologies LLC collects, uses, and protects personal information — including phone numbers and SMS-related data.

1. Scope
This Privacy Policy describes how Simpliphi Technologies LLC ("Simpliphi", "we", "our", or "us") collects, uses, and protects personal information in connection with our website at simpliphitech.com, our software platform, and the messages we send by SMS, email, and other channels.
This policy applies to visitors to our website, individuals who contact us, employees and administrators at customer clinics who use our platform, and patients of those clinics whose information is processed through the platform on behalf of the clinic.
2. Information we collect
2.1 Information you provide
When you contact us or subscribe to our services, we may collect your name, email address, phone number, mailing address, business affiliation, and any other information you choose to send us.
2.2 Information collected automatically
When you visit our website, we may collect standard log information (IP address, browser type, pages viewed, timestamps) for security and diagnostic purposes.
2.3 Information from customer clinics
Customer clinics submit information into our platform, including staff account details and, on behalf of their patients, contact and clinical information necessary for the operation of the clinic. We process that information as a service provider (and, where applicable, as a HIPAA business associate) under our agreement with the clinic.
3. How we use information
We use personal information to:
- Provide, maintain, and improve our website, platform, and services;
- Send account, security, and operational messages;
- Send appointment reminders and workflow notifications on behalf of customer clinics to their patients, where consent has been captured by the clinic;
- Respond to inquiries and provide customer support;
- Comply with legal obligations, enforce our terms, and protect the rights and safety of Simpliphi, our customers, and others.
4. Phone numbers and SMS data
We treat phone numbers and SMS-related data with particular care. In plain terms:
- We do not sell your phone number.
- We do not share your phone number or SMS opt-in status with any third party for their own marketing purposes.
- Mobile information sharing: No mobile information (including SMS opt-in data) is shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subprocessors is limited to service providers strictly necessary to deliver messages you have consented to receive, as described below.
Phone numbers we collect (from you, from customer clinics acting as our subscribers, or from customer clinics on behalf of their patients who have consented) are used only to:
- Send messages you or your clinic have consented to receive (account, security, appointment, or workflow messages);
- Process opt-out (STOP) and help (HELP) responses and maintain records of consent and opt-out status;
- Comply with applicable law, including the Telephone Consumer Protection Act (TCPA) and carrier / A2P 10DLC requirements.
To deliver SMS messages we use a licensed telecommunications provider that acts strictly as our messaging subprocessor. The provider may process phone numbers and message content solely to transmit messages on our behalf and is contractually restricted from using this data for its own marketing purposes.

5. How we share information
We share personal information only:
- With service providers that help us operate our platform (e.g., hosting, telecommunications, email delivery). These providers process personal information only on our instructions and are contractually restricted to that purpose.
- With customer clinics for staff or patients associated with that clinic's account, as necessary to deliver our services to the clinic.
- For legal reasons, when required by law, subpoena, court order, or to protect the rights, safety, or property of Simpliphi, our customers, or others.
- In connection with a corporate transaction, such as a merger or acquisition, subject to standard confidentiality protections.
We do not sell personal information, and we do not share personal information for third-party marketing or advertising purposes.
6. Retention
We retain personal information only as long as necessary to provide our services, comply with our legal obligations (including recordkeeping obligations for SMS consent and opt-out), resolve disputes, and enforce our agreements. Records of SMS opt-out are kept indefinitely to ensure we honor opt-outs on any future re-subscription.
7. Security
We use commercially reasonable technical and organizational safeguards to protect personal information, including access controls, encryption in transit, and audit logging. No system is perfectly secure; you should not send us sensitive information over unencrypted channels.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete, or export the personal information we hold about you, or to object to certain processing. To exercise those rights, email info@simpliphitech.com. We may verify your identity before acting on the request.
If a customer clinic processes personal information about you through our platform, direct rights requests to the clinic in the first instance; we support clinics in responding.
You may opt out of SMS at any time by replying STOP to any message. See the SMS & Messaging Policy for details.
9. Children's privacy
Our services are not directed to children under 13. We do not knowingly collect personal information directly from children. Where a clinic processes information about a minor patient through our platform, we act as the clinic's service provider under its authority.
10. HIPAA and patient data
When we process protected health information (PHI) on behalf of a covered entity, we act as a HIPAA business associate under a business associate agreement (BAA) with that entity. Our platform is configured to keep PHI inside the clinic account it belongs to, and SMS messages sent on behalf of a clinic are limited to minimum necessary information (e.g., appointment time, sender identity) — not clinical findings or diagnoses.
11. International users
Simpliphi is based in the United States. If you are located outside the United States, understand that any information you provide will be transferred to and processed in the United States.
12. Changes to this policy
We may update this policy from time to time. The "Last updated" date above indicates when the most recent changes were made. Material changes will be highlighted on this page.
