SMS & Messaging Policy
How we send text messages: use cases, consent, sample messages, opt-in and opt-out, message frequency, and data handling.

Simpliphi sends transactional, security, and operational text messages on behalf of Simpliphi Technologies and its customer clinics. We never send marketing or promotional SMS. Recipients can opt out at any time by replying STOP, and can get help by replying HELP. Standard message and data rates may apply.
1. Overview
This policy describes how Simpliphi Technologies LLC ("Simpliphi", "we") uses text messaging (SMS) in connection with our platform. It supplements our Privacy Policy and Terms of Service. Messages are transmitted through a licensed telecommunications provider acting as our subprocessor.

3. Who receives messages
Messages are sent to two categories of recipients:
- Clinic staff and administrators at practices that subscribe to our platform ("Practices"). These are our direct customers.
- Patients of subscribing Practices, when the Practice sends a patient-directed workflow message (such as an appointment reminder) through the platform and has captured the patient's prior consent.
4. Message use cases
Simpliphi messaging is limited to the following categories. We do not send marketing, promotional, or third-party advertising messages by SMS.
- Account verification (2FA) — one-time verification codes for account sign-in and identity confirmation.
- Account notifications — security alerts (e.g., new device sign-in), password changes, and transactional confirmations tied to a user's account.
- Appointment and workflow reminders — scheduled appointment reminders and workflow status messages sent by a Practice to its consented patients.
Each use case is registered and vetted as a separate messaging campaign, with its own opt-in, sample messages, and frequency. The categories are not combined into a single campaign, and consent captured for one does not authorize another.
5. Consent — practices (direct customers)
Practices provide express written consent to receive SMS from Simpliphi as part of their subscription agreement with Simpliphi Technologies. The subscription agreement contains a specific SMS clause:
"Customer consents to receive SMS from Simpliphi Technologies at the number(s) provided by Customer for the purpose of account, security, and operational notifications relating to our platform. Message and data rates may apply. Customer may opt out at any time by replying STOP to any message, and may reply HELP for help."
Consent by a Practice is recorded, with timestamp, at the time of subscription. Practices may withdraw consent for individual numbers at any time by replying STOP.
6. Consent — patients
Simpliphi does not have a direct relationship with patients. Consent for patient-directed messages is obtained by the Practice through a contractual pass-through, on the following basis:
- Each Practice's subscription agreement requires the Practice to obtain express written consent from each patient before the patient's phone number is used for SMS through the platform.
- Simpliphi provides Practices with template consent language for use during patient intake. The template requires the patient to opt in specifically to text messaging (a standalone, unchecked checkbox or e-signature), and discloses the sender, message types, message frequency, opt-out mechanism ("Reply STOP"), and that message and data rates may apply. It also states that consent is not a condition of receiving care or services.
- Practices are required to attest, per patient, that consent has been captured before the platform will send any patient-directed message. Attestations are logged with the associated user, timestamp, and consent method.
- Patients may withdraw consent at any time by replying STOP to any message received, and the opt-out is honored platform-wide across future messages from any Practice sending through our platform.
Simpliphi does not send unsolicited "please opt in" messages to patients. A confirmation message may be sent to a patient only after the Practice has captured the patient's prior written consent.

7. Sample messages
The messages below are representative of the categories described above. Every message identifies Simpliphi as the sender and includes opt-out instructions.
Sent once, only after the practice has captured the patient's written consent. This first message carries the full disclosure (program, frequency, rates, and STOP/HELP).
8. STOP and HELP
All Simpliphi messages support the standard consumer opt-out and help keywords:
- STOP (and variants: STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT) — unsubscribes the recipient from all further messages. A single confirmation reply is sent, after which no messages are sent to that number until the recipient reconfirms opt-in.
- HELP (and variants: INFO) — returns a help reply identifying the program, providing a support contact, and repeating the opt-out instruction.
- START — reconfirms consent following a prior STOP, subject to the Practice-side consent requirements described above.
Opt-outs are honored immediately and recorded indefinitely. Opt-out is available at no cost to the recipient.
9. Message frequency
Message frequency varies by recipient and use case:
- Account verification (2FA): per user login or sensitive action — typically 0–5 messages per month.
- Account notifications: event-driven — typically 0–3 messages per month.
- Appointment / workflow reminders: event-driven, up to approximately 1–4 messages per appointment cycle for a patient.
10. Costs
Simpliphi does not charge recipients for messages. Standard message and data rates from the recipient's mobile carrier may apply. Carriers, not Simpliphi, are responsible for those charges.
11. Data handling
Phone numbers, opt-in status, and message metadata are stored securely and used only to operate the messaging program described in this policy. See our Privacy Policy for full details, including the following commitments:
- We do not sell phone numbers or SMS data.
- No mobile information (including SMS opt-in data) is shared with third parties or affiliates for marketing or promotional purposes.
- Phone numbers are shared only with our licensed messaging provider as strictly necessary to transmit messages, under a contract that restricts the provider from using the data for its own marketing.
12. HIPAA and PHI
Patient-directed messages sent on behalf of a Practice are limited to minimum-necessary information. Messages may include a patient's first name, appointment date and time, and clinic identifier, and directions to log in to a secure portal for anything else. Simpliphi messages do not contain diagnoses, test results, or other clinical findings. Where a Practice is a HIPAA covered entity, Simpliphi acts as its business associate under a written business associate agreement.
